How to Move your Business Office without Downtime
Relocating a business and moving your office can be stressful especially when there’s downtime involved. But it doesn’t have to be so. How do you move without disrupting the flow of business and continue serving your customer? The secret is in the planning and don’t try to do it alone. Follow these tips and download the free moving checklist:
1- Pick your move planning committee team.
2- Within your team, assign responsibilities for looking after: office furniture, computer/phone/general office equipment, phone lines & Internet services, renovations and/or cleaning at the new location, if required.
3- Create an inventory list of the office equipment and furniture.
4- Determine what equipment and furniture you should keep or replace with new.
5- Individuals in your committee team should advise suppliers of your move and request for proposals, including phone/internet services for the new location, relocation or purchase of computers, phone system, test existing or install new phone/network cabling at new location, office furniture, moving companies, renovation and cleaning. Consider lead times and start this process 3 months in advance if possible.
The more time you give your team and suppliers to plan the above steps,
the easier and smoother your move will be.

The $199 PlayBook is Back
RIM is at it again, the PlayBook promotion returns: $199 for the 16GB version, $249 for 32GB, and $299 for 64GB. The device won’t have
the latest 2.0 version software yet, but RIM will be rolling out the update soon.
Despite the negative publicity that this poor tablet has received, I have to say that at $200, with the new OS coming out soon, this is a really good deal.
It’s a device with better specs than others, it runs Flash, and has some great productivity software. If you want games and apps, it’s not the best choice. However, if you use a BlackBerry smartphone and are interested in email, time management, contacts, syncing, and all that great stuff, the PlayBook is a good buy. It’s also great for sales presentations especially if it includes web based Flash video.
With the Bridge feature you don’t need a separate 3G internet connection and you don’t need WiFi for the PlayBook. You can simply connect it your to your BlackBerry smartphone and use the internet connection from your phone. With a 7 inch screen size, this tablet is the ideal portable device that will keep you connected. A good buy for $200 bucks. Check out your favourite retailer. Vlingo gives me the ability to navigate my phone entirely by voice. I feel like a kid on Christmas morning. I press a button on my smartphone, wait for a chime, simply say, “Web search, weather Toronto,” and the browser opens and delivers me the weather. I can also use it to text and send emails to my contacts.
With the ability to text and email by voice, the Vlingo software can voice control my entire phone. For example, after a meeting I can quickly email my team the meeting notes and attach it to our CRM without having to type.

What is Outlook Social Connector and why should you use it?
Leverage social media networks such as LinkedIn and Facebook with the Outlook Social Connector. It’s a free feature to help keep track of your contacts while enabling you to grow your professional network, right within Outlook 2007 and 2010. No need to go to LinkedIn or Facebook. It’s an ideal way to stay on top of recent communication, activities and goings on of the people that you’re in contact with.

The Outlook Social Connector (OSC) brings social views of your colleagues and friends right to your Inbox. As you read your email messages, glance down at the new People Pane to see the picture, name, and title of the sender. A rich, aggregated collection of information about the sender is included.
The OSC presents useful information including:
· Communication history Your mailbox is searched and the recent messages you’ve exchanged with that person appear. Can’t remember the last time you e-mailed this person? A quick look at the OSC reveals the last time you received an email from them, and one click opens up the message.
· Meetings When is the next scheduled meeting with this person? The OSC shows upcoming appointments that include you and the message sender.
· Attachments Can’t find the attachment that the person is referring to in a message? With the OSC you can quickly review attachments that you and the sender have exchanged. One-click access quickly opens the attachment or you can see the message that it is attached to.
· Activity feeds Stay on top of activities involving your colleagues and friends in real time. The OSC connects to business and consumer social networks.
· Did you say activity feeds? Yes we did! The OSC makes Outlook 2010 a social networking tool by connecting to the new social experiences. That connection allows the OSC to download activity feeds for colleagues and display them inside the new People Pane:
Build your network. The OSC makes it easy to grow your network; by clicking the ‘+’ symbol underneath a person’s picture, you can send a request to be their colleague on any of the networks you are connected to. The OSC also automatically synchronizes your colleagues from each of your connected networks and saves them as contacts in Outlook. This allows you to easily send messages, call, or synchronize contacts just as you would any other Outlook contact.

Preventing Long Distance Fraudulent calls and enforcing phone system security
If you’re lucky enough not to be a victim of long distance fraud, this article will come as a surprise. Either way, you need to take steps to protect your business from unauthorised international long distance calling. And avoid a costly surprise.
Computer hackers have been known to the world for many years. A new kind of hacker has emerged recently targeting international long distance calling. These hackers gain access to your phone lines usually via your phone system and rack up thousands of long distance minutes without your knowledge. Before you know it, you have a hefty bill from your phone line or long distance provider and unfortunately you are responsible to pay it.
Phone companies have been warning their customers about criminal activity targeting phone systems of all brands for fraudulent usage. Many new systems have built-in security features that prevent fraudulent and unauthorized use. However, often the problem relates to systems without security passwords or the use simple passwords.
This is a list of recommendations and best practices that you can use to ensure maximum security for your phone system and phone lines.
1- ensure that you use passwords on your entire phone system including administrative access to the system, voicemail boxes, etc.
2- do not use simple passwords such as 1111, 2222 or 1234. Create passwords with at least 6 digits or 8, if possible.
3- never start passwords with a 0 or 1 and never use your own number or extension
4- change factory pre-set passwords, system passwords are available on the internet
5- change your password regularly, every 3 months is good practise
6- restrict international calls if possible or contact your phone provider and request for long distance access codes
7- password protect call back or call bridge phone system features with complex 8 digit passwords
8- disable unused extensions and voicemail boxes, if possible
9- if you’re using softphones, ensure that a complex unique 8 digit password is used
10- Phone systems are just like computers, ensure that you have the latest software and firmware updates.
There may be other steps you’ll need to take to ensure maximum security of your phone system. I recommend that you contact your phone system provider for more information on how to conduct a security audit.
